Under the supervision of both the coordinator and the assistant coordinators, the administrative assistant manages all registrations for Gee-Gees summer camps programs. The administrative assistant is responsible for day-to-day client services and for ensuring the office is a positive and clean workspace. During camp weeks, the administrative assistant is responsible for printing daily attendance and registration reports. Other duties include helping with morning and afternoon childcare, morning snack distribution and lunch time duties as well as taking care of ill or misbehaving participants.

Tasks and responsibilities
Before camps (May to June)

Attend all mandatory meetings and training sessions organized by assistant coordinators

Become very familiar with camp descriptions, locations, programming, dates and prices

Become familiar with all camp staff to properly address parents’ concerns

Become familiar with the camp database and registration procedures

Take full responsibility for keeping the office a clean and positive work environment

Ensure brochures at all public locations are always stocked

Manage all client services responsibilities

Confirm registration forms and enter all data in the appropriate fields in Class, including creating family accounts, promoting the online registration systems and assisting clients in using it

Process payments and enter them into Class

File all registration forms into existing individual folders or create a new folders

Print and e-mail receipts

Process all refunds

Prepare communication to be disseminated

Prepare daily deposits and registration reports

Review and update procedures

Handle all IT problems with computers in the camps office and communicate with Sports IT services when needed

Under the supervision of the coordinator, the assistant coordinator is responsible for the overall success of Gee-Gees Camps by ensuring the delivery safe, enjoyable, and effective programs for both participants and staff. The incumbent assists in the employment process, including selecting, hiring and training camp staff, as well as prepares and leads weekly staff meetings throughout the summer. The assistant coordinator directly supervises approximately 100 members of camp staff within the 85 programs offered throughout the summer. He or she must support staff through continuous feedback and ensuring that they have the appropriate and necessary resources to provide a high quality youth-oriented program to approximately 3000 external participants. The assistant coordinator is available during pre-camp to directly oversee all head counsellor programming and during camp to deal with any staff concerns as well as camper or parent concerns. Lastly, the incumbent, along with the varsity coaches, oversees six varsity sport camps according to the CIS sports and Gee-Gees camps partnership agreement.
Experience and skills required

Off season (May to June)

Ensure that the camps e-mail and voicemail are checked and responded to weekly
-
Read all staff year-end reports and publish final summarized copy for following year, which includes feedback from administration

Meet with the coordinator on a regular basis
-
Prepare a calendar of all school end dates for the different school boards within the Ottawa-Gatineau community
-
Help finalize all camps being offered for following summer and all brochure descriptions, and make changes to age groups and prices as necessary
-
Communicate with coaches concerning feedback from past summer as well as any changes for upcoming summer (assist with all aspects to camps with the exception of programming)
-
Help in the preparation of a final budgetary report after redistribution of t-shirts and lifeguard expenses
-
Contact all staff from previous year and send out invitations to returning staff
-
Conduct marketing of new positions to be hired, make modifications to application deadlines and application forms when needed

Accept applications and set interview dates and times

Ensure proper number of staff for interviews (for both group and individual interview)

Interview and hire staff to ensure all positions are filled by late April

Start scheduling indoor/outdoor main and backup locations for all camps (including specific locations needed by varsity coaches)

Schedule free swim times for all camps and ensure morning and afternoon childcare locations are set

The counsellor within the Gee-Gees sports camp is primarily responsible for continuing to deliver a high quality camp by creating a very pleasant, dynamic, motivating and safe atmosphere. Before camp, counsellors are responsible to completely familiarize themselves with the camp manual and learn how their head counsellor envisions the camp for that specific year. Their principal role is the enjoyment and supervision of the children. Thus, most of their days are spent with children. The counsellors are to follow instructions given by their head counsellor, and also strive to show initiative as the summer progresses. The counsellor is responsible for a station during morning and afternoon childcare, and remaining at this station is of utmost importance.

The principal role of the head counsellor is to not only develop and plan, but also to lead and deliver the high quality of camps that the University of Ottawa strives to provide year after year. They are hired sufficiently in advance to the start of their camp and are responsible to help plan training week for counsellors and prepare detailed programming for the entire summer including the reservation of any outings within their budgets.
